Tally Prime vs. manual bookkeeping: what small businesses actually need

Every small business reaches the same question: is a register and a spreadsheet still fine, or is it time to move to Tally Prime? The honest answer is that both are right for different businesses. Here is how to tell which one you are.

What manual bookkeeping actually means

Manual bookkeeping in practice is usually a cash book, a sales register, and a spreadsheet that gets reconciled whenever there is time. It works — for a very small business with few transactions and no GST complications. Its real strengths are simplicity, zero software cost, and no learning curve.

The problems show up slowly: entries get missed, two people's spreadsheets disagree, the accountant asks for the "GSTR-1 data" and nobody can produce it, and year-end reconciliation becomes a week of digging through paper. None of this is visible until it is urgent.

The right time to switch is when any of these start happening: you register for GST, you start carrying inventory, you have more than one person handling money, or your accountant keeps asking for reports you cannot produce.

The cost question

Tally Prime runs on a subscription (a single-user licence is a few thousand rupees a year, with multi-user options). Measure it against what it replaces: the errors, the missed entries, the audit-time scramble, and the accountant's hourly rate spent reconstructing your books. Most growing businesses find the licence pays for itself in the first reconciliation.
